1. Scope of application
The following privacy statement applies for participation in telephone conferences at Münchener Rückversicherungs-Gesellschaft Aktiengesellschaft in München (“Munich Re”) conducted via the service provider Chorus Call.
2. Processing of your data
In this statement, we explain how your personal data will be processed by Munich Re, and inform you of your rights under data protection law.
2.1 Who is responsible for processing your data, and how can you contact the Data Protection Officer?
Münchener Rückversicherungs-Gesellschaft
Aktiengesellschaft in München
Königinstrasse 107
80802 Munich
Germany
Tel.: +49 89 38 91-22 55
Fax: +49 89 38 91-722 55
Email: contact@munichre.com
You can contact the Data Protection Officer at the postal address above – please include “Data Protection Officer” in the address – or send an email to datenschutz@munichre.com.
2.2 What categories of data will we use, and for what purposes will personal data be processed?
You will receive an electronic invitation to the telephone conference based on your contact details on file with Munich Re. In this invitation, you will receive a registration link. In order to participate in the telephone conference, you need to register via that link on the Chorus Call website, providing your name, email address, country and the relevant company. Upon successful registration, an email with a telephone number, a personalised PIN and a calendar entry is automatically generated. Using the information detailed above, participants can dial in to the telephone conference, as well as ask questions following the Munich Re presentation. Munich Re receives a participant list from Chorus Call.
The entire telephone conference and the Q&A session will be recorded (audio recording). Registration for the telephone conference is only possible if you have previously agreed to it being recorded, including the Q&A session. Munich Re compiles a transcript of the telephone conference and the Q&A session. The audio recording and the transcript are archived by Munich Re for corporate communication purposes within the Munich Re Group. In addition, the presentation and the Q&A session will be streamed. Afterwards, the presentation (but not the Q&A session) will be available on the Munich Re website for 12 months.
2.3 What is the legal basis for the processing of your personal data?
We process your personal data in compliance with the EU General Data Protection Regulation (GDPR), the German Federal Data Protection Act (BDSG), and all other applicable laws. The audio recording will be carried out based on the consent you have given (Article 6(1)(a) of the GDPR). The processing of your contact data and the compilation and use of the transcript for the purpose mentioned above are based on legitimate interests of Munich Re (Article 6(1)(f) of the GDPR).
2.4 Who receives your data?
Within Munich Re, only those staff and departments who are responsible for the respective process will receive your data in order to fulfil the above-mentioned requirements. The data may also be disclosed to service providers for the purposes set out above. Support from external service providers is used in particular for the handling of the telephone conference and the storage of the audio recording and the transcript.
2.5 Will your data be transferred to a third country?
If personal data needs to be transferred to service providers or Group companies outside the European Economic Area (EEA), this will be done only if the European Commission has confirmed that the respective third country’s level of data protection is sufficient, or if data protection is otherwise sufficiently guaranteed (e.g. through the European Commission’s standard contractual clauses).
The companies of the Munich Re reinsurance group have adopted binding internal rules on data protection (the so-called Binding Corporate Rules: https://www.munichre.com/content/dam/munichre/global/content-pieces/documents/Binding-Corporate-Rules-de.pdf/_jcr_content/renditions/original.media_file.download_attachment.file/Binding-Corporate-Rules-de.pdf). Appropriate data protection guarantees are thus in place worldwide at those group companies. You can request detailed information on that matter, and on the data protection levels at our third country service providers, using the contact details provided above.
2.6 How long will your data be stored?
All personally identifiable data will be deleted after 12 months.
2.7 Are you required to provide us with your data?
You are not required to provide personal data in order to take part in the telephone conference. We will, however, need your contact data to enable us or Chorus Call to grant you access to the event.
2.8 What privacy rights can you claim as a data subject?
You can request information about the personal data we have stored under your name from the address above. In addition, under certain circumstances, you may request that your data be corrected or deleted. Furthermore, you may have a right to restriction of the processing of your data, and a right to disclosure of the data you have provided in a structured, commonly used and machine-readable format.
Please contact us at the address above to exercise these rights.
Right to object / Right to withdraw consent
If we process your data for the purpose of protecting legitimate interests, you may object to this processing on grounds relating to your particular situation. We will then cease to process your data, unless we have compelling legitimate interests to continue that override your grounds. Even after giving your consent, you are entitled to revoke it for the future without consequences.
2.9 Whom can you contact if you have a complaint?
If you have a complaint, you may contact the above-mentioned Data Protection Officer, or a data protection supervisory authority. The authority responsible for us is:
Data Protection Authority of Bavaria for the Private Sector (Bayerisches Landesamt für Datenschutzaufsicht)
